Question
How do overtime rules work for crew timesheets?
Answer
Background
This article covers how to create and use overtime rules for crew timesheets.
- For an "Hours Timesheet," with "Hours" buckets and not Regular Time (RT/ST), Overtime buckets(OT/DT), you can enable over time rules using instructions in the article How do I create overtime rules?
- A Crew timesheet is considered an Hours Timesheet if its template only has a single Hours field.
- This article covers crew timesheets that are setup with paycode buckets for work time, RT, OT/DT.
How Overtime Rules Work for Paycode Bucket Crew Timesheets
For paycode bucket crew timesheets enabling overtime rule will not calculate RT, OT DT totals. Instead it will become a validation rule that warns users of mistaken entries. For example:
Use Case: Foreman Enters Too Much RT
The most common errors in the field are entering too many RT hours, and in turn, too little OT hours for an employee.
In this use shown below, a foreman enters ten hours for an employee each day Monday through Thursday. When he enterers 10.0 hours of RT on Friday, he gets a warning:
"OT entered for week ending on 9/28/2019 is 0.00 hours: policy indicates 10.00 hours."
This means that the Overtime weekly rule threshold of 40.0 hours was reached on Thursday, and that entering 0.00 OT hours on Friday is incorrect. The policy is saying that OT should equal 10.0. This also means that RT should not be 10.0 hours, but instead 0.0.
When the foreman corrects both RT (setting it to 0.0) and OT (setting it to 10.0) and saves the crew timesheet, the validation warning will go away. When there are no validation warnings, the entries are valid.
These overtime validation warnings will appear when any time a paycode bucket entry is incorrect. The warning always tells the user what entry is incorrect and what the value should be. The foreman needs to enter the suggested value, and subtract that value from the invalid paycode bucket. In this case that would be the RT bucket.
